Data Retention — MyQueue

This notice describes how long data typically remains in MyQueue when operated by PiHub Systems. It supplements the Privacy Policy and Data Processing Addendum.

1. Principles
- Data is kept only as long as needed to operate the Service, meet billing and legal obligations, and resolve disputes.
- Venue owners control deletion of historical completed queue rows via in-product archive tools.
- Retention may vary slightly by environment (production vs backup).
2. Active queue data
While a visitor entry is waiting, called, skipped, or otherwise not closed as done, related records remain in active processing so staff consoles, displays, and tracker pages function.
3. Completed (“done”) entries
When staff marks an entry done, it remains stored until:
- The owner runs Archive old done (or equivalent API), which deletes completed entries older than a window the owner selects (typically 7 to 3650 days; the product may suggest ~90 days as a default), or
- Account/venue termination timelines in §5 apply.
Until archived, done rows may still contain name, optional phone, configured fields, and timestamps. Owners should archive periodically if they wish to minimise historical data.
4. Tracker sessions and push tokens
Tracker links and browser push subscriptions are tied to active visits. Technical tokens and session data are discarded when no longer needed for that queue session or after reasonable inactivity, subject to log retention in §6.
5. Branding media (logo / roster photos)
Images stored in Firebase / Google Cloud Storage remain until the owner removes them in venue settings or the venue/account is deleted, after which we delete associated objects within 90 days unless law requires longer retention.
6. Billing and owner account records
Subscription status, Razorpay references, invoices, and owner account metadata (including Terms acceptance version) may be retained for statutory and tax periods under Indian law (often six to eight years for accounting records—confirm with your accountant).
7. Termination
After subscription ends or we close a venue/account:
- Operational queue data is deleted or anonymised within 90 days unless law requires longer retention.
- Backups may persist for a limited technical window before rolling off.
8. Logs and security
Application and security logs may be retained up to 90 days for investigation and abuse prevention. We aim to avoid logging full phone numbers where feasible.
9. Visitor requests
Individuals exercising rights should email support@pihubsystems.com. Where data was collected at a venue, we may coordinate with that venue as Controller.
10. Changes
Updates will be posted here with a revised Last updated date. Material changes may be communicated to owners by email where appropriate.
