Terms of Service — MyQueue

Operator: PiHub Systems (“we”, “us”, “our”) provides MyQueue, a cloud queue-management service for walk-in counters and similar venues (“Service”).
Product URL: https://myqueue.pihubsystems.com (or another hostname we designate for the Service).
Territory: The Service is offered for use in India unless we agree otherwise in writing. By using the Service you confirm your venue operates in India and you will comply with applicable Indian law.

1. Agreement
These Terms, the Privacy Policy (/legal/privacy-policy), and (for business customers processing visitor data through us) the Data Processing Addendum (/legal/data-processing-addendum) form the agreement for the Service.
Creating an owner account requires accepting the current Terms of Service and Privacy Policy version shown at sign-up. If you do not agree, do not use the Service.
2. The Service (what MyQueue provides)
MyQueue is a multi-venue queue engine for counters such as clinics, labs, restaurants, ration shops, and other configured venue types. Depending on your plan and configuration, features may include:
- Visitor check-in (typically via venue QR code or link) and optional staff-assisted or quick-add entry
- Staff console to call the next visitor, mark done, skip, or pause the queue
- Public display (e.g. waiting-room screen) showing current and upcoming tokens
- Live tracker link for visitors who joined with a phone number (where enabled)
- Near-front alerts via in-browser notifications and/or WhatsApp, SMS, or voice when integrated and enabled on your plan
- Owner hub to manage one or more venues under your account, venue settings, branding (e.g. logo upload), check-in hours, roster/licensing (healthcare), and billing per venue
- Subscription billing through Razorpay (Silver / Gold / Platinum style plans as shown in-product)
The Service is not an electronic health record, practice-management, or clinical documentation system.
3. Who may use the Service

| Venue / business customer | Organisation that registers and pays for one or more venues (e.g. clinic, shop, office window). |
| Owner account | Person who signs in with email and password (Firebase Authentication) and accepts these Terms. One owner account may control multiple venues, each with its own queue, settings, and subscription where applicable. |
| Staff | Persons using a staff key (or device unlock PIN where configured) on approved devices. You must safeguard keys and devices. |
| Visitors | Persons who join the queue as guests of the venue. Their relationship is primarily with the venue; our Privacy Policy explains our role as service provider. |
4. Trial
Where enabled, each new registered venue may receive a thirty (30) calendar day trial starting from that venue’s registration (or as stated in-product). During trial, plan features shown in the application (commonly Gold-tier capabilities) apply until trial ends.
When the trial ends, check-in, staff actions, or other features may be restricted until a paid subscription is active, as implemented in the Service. Trial length, limits, and post-trial behaviour are also shown in the application and may be updated with reasonable notice to the owner email on file.
5. Subscriptions, fees, and payment
- Paid use is billed per venue (unless we offer a different package in writing) through Razorpay or as displayed at checkout.
- Prices may be exclusive of GST until we are GST-registered; GST is added at checkout when applicable.
- Renewal, failed payment, chargebacks, refunds, and cancellation follow checkout terms, Razorpay’s policies, and in-product billing screens.
- Non-payment or expired trial may result in suspension of queue features for the affected venue.
- Invoices and tax identifiers you provide are used for billing records as described in the Privacy Policy.
6. Acceptable use
You agree not to:
- Use the Service unlawfully or in breach of TRAI, DND, spam, or telemarketing rules.
- Misrepresent identity, share staff keys broadly, or access other venues’ data.
- Enter clinical diagnoses, prescriptions, lab results, or other special-category health data into queue fields.
- Upload branding or roster images you do not have rights to use.
- Reverse engineer, scrape, or attack the Service in ways that harm security or availability.
- Use messaging integrations for non-queue marketing without lawful basis and provider compliance.
- Resell or white-label the Service without our written agreement.
7. Customer responsibilities (venues)
Venues are responsible for:
- Lawful collection of visitor information and notices at the premises (including consent where required for SMS/WhatsApp/push).
- DLT registration and approved templates for SMS, and WhatsApp template approval with Meta or your BSP, when you enable those channels.
- Signage and truthful explanation of how the queue and alerts work.
- Staff training, device security, and rotation of staff keys when staff change.
- Accuracy of venue profile, roster, and billing details.
- Periodic use of archive tools if you wish to limit how long completed queue rows are kept (see
/legal/data-retention).
8. Data protection
Processing of personal data is described in the Privacy Policy. When a venue uses MyQueue to process visitor data, the Data Processing Addendum applies. Subprocessors are listed at /legal/subprocessors.
9. Availability and changes
We strive for reliability but do not guarantee uninterrupted service. Maintenance, third-party outages (cloud, messaging, payments), and force majeure may affect availability.
We may modify, suspend, or discontinue features with reasonable notice where practicable—especially for material changes affecting paying customers (email to the owner contact).
10. Intellectual property
The Service, software, and MyQueue branding are owned by PiHub Systems or licensors. You retain your data and trademarks. You grant us a limited licence to host, process, and display your data as needed to provide the Service.
11. Disclaimer of warranties
The Service is provided “as is” and “as available” to the fullest extent permitted by law. We disclaim implied warranties where allowed.
12. Limitation of liability
To the fullest extent permitted by Indian law, PiHub Systems’ aggregate liability arising from these Terms or the Service is limited to the fees paid by you to PiHub Systems for the affected venue(s) in the three (3) months before the event giving rise to the claim (or INR zero during a free-only period), except where liability cannot be excluded (e.g. fraud, death or personal injury caused by negligence, or other non-waivable rights).
We are not liable for indirect, consequential, or loss-of-profit claims except where law requires otherwise.
13. Indemnity
You will defend and indemnify PiHub Systems against third-party claims arising from your misuse of the Service, your messaging or compliance failures, visitor disputes at your premises, or your breach of these Terms, subject to applicable law.
14. Suspension and termination
We may suspend or terminate access for risk, abuse, non-payment, or legal reasons. You may stop using the Service at any time. Data export or deletion after termination is subject to /legal/data-retention and technical capabilities.
15. Governing law and disputes
These Terms are governed by the laws of India. Courts at Patna, Bihar shall have exclusive jurisdiction, subject to mandatory consumer or other non-waivable provisions.
16. Miscellaneous
- Assignment: You may not assign these Terms without our consent; we may assign to an affiliate or acquirer.
- Entire agreement: These Terms and linked policies are the agreement regarding the Service.
- Severability: If a clause is invalid, the remainder remains effective.
- Language: English controls; translations are for convenience only.
